Connecting a mailbox

Under Settings → Email channels you connect the address customers write to (e.g. support@yourcompany.com). There are two ways in:
1. Forwarding — the fastest way to start (no passwords, no DNS).
Your workspace has its own forwarding address, something like acme-x4f2@in.deskpine.app — it's shown in the blue card at the top of Settings → Email channels. Set your support mailbox to forward there and mail starts flowing in minutes:
- Gmail / Google Workspace: Settings → Forwarding and POP/IMAP → add the address → confirm the verification mail (it appears as a conversation in DeskPine) → choose Forward a copy.
- Outlook / Microsoft 365: Settings → Mail → Forwarding → enable, paste the address, keep a copy.
- Any other provider: look for "forwarding" in its mail settings.
Forwarding covers incoming mail only — perfect for trying DeskPine with real conversations. To also send replies from your own address, do step 2 whenever you're ready.
2. Full connection — send and receive.
Gmail and Outlook connect with one-click sign-in. Any other provider works over standard IMAP/SMTP; you'll need:
- Incoming (IMAP) host, port and credentials — used to pull new mail.
- Outgoing (SMTP) host, port and credentials — used to send replies.
Once connected, new emails are fetched automatically every couple of minutes and appear in the matching mailbox. If the connection ever breaks (an expired sign-in, a changed password), the workspace owner gets an email — nothing is lost, mail keeps accumulating in the mailbox and comes in once you reconnect.
