DeskPine

Gmail shared inbox

Your support@ has outgrown a Google Group

Or one Gmail login the whole team shares. Keep the address: DeskPine turns every email to it into a conversation with an owner and a status, gives each teammate their own login, and your replies still go out from support@.

Sound familiar?

One password, five people

Everyone signs in as support@. Nobody knows who sent what, and when someone leaves, the password has to change for everybody.

Two replies, or none

Two teammates answer the same customer while another email sits read-but-unanswered, because opening it marked it read for everyone.

No idea what's late

Stars and labels don't tell you which customer has waited a day, or how the team is doing this week.

Same address, a real support inbox

An owner and a status on every email

Each message to support@ becomes a conversation you assign, snooze, mark pending or close. Customer replies thread back in.

Everyone signs in as themselves

Each teammate has their own DeskPine login, with roles, two-factor and passkeys. Nobody needs the Gmail password anymore.

See who's on it

“Marco is replying…” shows up live on the conversation, so two people don't answer the same customer.

Notes and @mentions

Leave internal notes on a conversation and pull a teammate in. Customers never see them.

Saved replies

Type “/” in the reply box to drop in a team answer, with the customer's name filled in.

Replies still come from support@

Customers see the same address and the same thread in their mail app. Nothing changes on their side.

How it connects

Pick the one that matches how support@ works today. Either way it takes a few minutes and your customers notice nothing.

support@ is a Gmail or Workspace account

The one login everybody shares

  1. 1

    Create an app password

In that Google account, turn on 2-Step Verification and create an app password.

  2. 2

    Connect it in DeskPine

Paste the address and the app password. DeskPine checks it can sign in before saving.

  3. 3

    Invite the team

Everyone gets their own login. New mail shows up as conversations, and replies send from support@.

support@ is a Google Group

The collaborative inbox

  1. 1

    Copy your DeskPine address

Every workspace gets a private forwarding address on sign-up.

  2. 2

    Add it to the group

Add that address as a member of the group (Workspace groups need external members allowed). Anything Google sends to confirm lands in DeskPine, so you can accept it there.

  3. 3

Connect a mailbox to reply from

To send replies as support@, connect one Google account that can send as that address, such as a dedicated support mailbox, with an app password.

Google Groups vs DeskPine

The collaborative inbox covers the basics. DeskPine adds the help-desk layer on top of the same address.

Questions teams ask first

Do I have to change our support address?

No. support@ stays exactly as it is. DeskPine connects to it (or receives a copy of everything sent to it), and replies go out from the same address, threaded like any other email.

Does it work if support@ is a Google Group?

Yes, for receiving: add your DeskPine forwarding address as a member of the group and every email to it becomes a conversation in DeskPine. To reply from the group's address too, DeskPine needs one Google account that can send as that address, such as a dedicated support mailbox, connected with an app password. For a Google Workspace group, the group has to allow external members.

We all share one Gmail login today. What changes?

You connect that account to DeskPine once with an app password (Google requires 2-Step Verification on the account to create one). From then on each teammate signs in to DeskPine with their own login, and nobody needs the Gmail password day to day.

Google Groups can already assign and resolve. Why switch?

It can, and for a small team that's sometimes enough. What it doesn't have is the help-desk layer: response-time targets with business hours, satisfaction ratings, a knowledge base, reporting, workflows and a view of each customer's history. That's what DeskPine adds, without changing your address.

How much does it cost?

A flat $9.99 per agent per month with every feature included. Read-only (light) agents are free. The 14-day trial is the full product and doesn't ask for a credit card.
